Management Services

  •  Maintain communications with owners about the unit, its rentals, and strategies to maximize revenue.
  • Include the unit in joint listings across multiple units in Isla Verde to maximize opportunities.
  • Oversee cleaning and maintenance staff as well as any ad-hoc issues that arise with the unit.
  • Make recommendations for improvements to décor, amenities, or other aspects of the unit to maximize revenue and guest satisfaction. 
  • Manage problems/issues that may arise with the guest and ensure these are reported immediately to the platforms as needed. 
  • Upon request and receipt of the owners account information, file the Puerto Rico Tourism monthly tax report.
  • Maintain Workman’s Compensation Insurance (Póliza del Fondo del Seguro del Estado) to cover contractors, service providers, employees, and any workers that TDA brings to the property. 

Hosting Services

  •  Prepare and maintain Airbnb and VRBO listings, as well as listings on other platforms as relevant.
  • Serve as Host in the listing platform and manage interactions with the platform. Owner will have access to view the listing, calendar, etc. 
  • Change pricing/offer discounts as necessary to ensure we attract the highest-caliber guests possible while maximizing occupancy rates and revenue.
  • Offer additional services to guests such as personal shopping, celebration decorating, concierge services, etc.
  • Respond promptly and professionally to all guest inquiries and requests. 
  • Act as primary point of contact for guests and with Ocean Tower Administration and security regarding any bookings and guest registration.
  • Be available to guests should issues arise in the unit, if needed in person.
  • Communicate proactively with guests to ensure any concerns are known and addressed, such as impending power outages or maintenance to the property that might impact their stay.
  • Inspect the property after each guest departs in order to write each guest post-departure reviews on listing platform.
  • Encourage guests to review the property/host. 

Cleaning Services

  •  Receive all guest cleaning fees and be responsible for cleaning the unit between stays.
  • Provide all cleaning supplies used to service the units.
  • Ensure the apartment has appropriate supplies and amenities for guests prior to guest arrival and that the unit is prepared according to guest needs (e.g., provide additional bedding, cots or Pack’n Play, etc.)
  • Document the conditions of the apartment after it is cleaned and prepped for each guest. 
  • Inspect the property between guest rentals and immediately report any maintenance/repair needs to the owner; as well as any missing, stolen, or damage to the property’s furnishings or structure that might have been incurred by guests.
  • Coordinate or perform any "deep clean” or “specialty clean / treatment“; in those cases, the owner will be advised of the work to be done and any associated charges.

Maintenance Services

  •  On a regular basis, inspect items such as towels, sheets, dishware, etc. and inform the owner that the items need to be replaced. 
  • Purchase guest supplies and amenities.  
  • Provide and manage third-party contractors to perform maintenance activities and repairs. 
  • Schedule and oversee and act as primary point of contact for any routine preventive maintenance such as: plumbing preventive treatments, extermination services, air conditioning cleaning (twice a year), appliance repair (as needed), etc. 
  • Make every effort to schedule any foreseeable contractor or maintenance work whenever there is an opening between bookings to minimize the amount of time the unit is unavailable for guests.
